Work profiles: keep companies and clients separate

One account can hold several independent work environments. Every active membership is a profile: it may represent your Professional practice, your own Company, or an organization that invited you.

Availability: authenticated accounts with verified email; global platform accounts remain outside operational profiles. Level: Basic.

Purpose

Profiles separate independent work from clients handled for a company and from other organizations where you collaborate. Selecting another profile changes visible context without copying or mixing data.

Every profile independently retains:

  • reports, conversations, attachments, and numbering;
  • customers, equipment, orders, and commercial activity;
  • inventory, warehouses, documentation, and settings;
  • Professional or Company mode, members, role, trial, and subscription.

Selected and primary profiles

The selected profile is the environment where you are working now. Its name remains visible as a secondary reference in the Work scope card, at the start of side navigation, and determines which data and actions the session can open.

The primary profile is the one ReportArea opens when a new session begins. An account can have only one. Making another profile primary does not change the currently selected profile.

Existing accounts automatically receive their previous organization or mode as their primary profile.

Operational context is not another profile

The Work scope card presents Operational context first and its real profile underneath. Change context and Change profile are independent actions. Choosing a context focuses the current profile on Own, Symbolic companies only, or one specific customer, but does not create another organization, membership, subscription, or permission boundary.

A new session opens the primary profile and starts its context in General. During that session, every profile remembers its own context selection. Switching profiles still isolates all data; switching context only organizes records that the current profile could already access.

Use a separate profile when you need another organization, members, permissions, or subscription. Use a context when you need to work across modules for one customer inside the same profile. You may also remain in General and use local company filters without changing navigation or the remembered context.

Select another profile

  1. At the start of side navigation, find Work scope and choose Change profile.
  2. Check the name, mode, role, and Current or Primary indicators.
  3. Choose the profile where you want to work.
  4. ReportArea validates your membership and returns to Home inside that environment.

If the current page has unsaved changes, you must confirm before switching. Canceling preserves both the form and the current profile.

Pages opened before a switch retain the context in which they were issued. Saving from an older tab is blocked and requires a reload, preventing an action from ending up in another organization.

Create a profile

  1. From Change profile in the Work scope card, or from My profile, choose New profile.
  2. Select Professional or Company.
  3. Enter its name, language, time zone, and currency.
  4. Confirm setup.

The profile receives its own starter catalogs and, where applicable, its own trial and subscription. It becomes selected after setup, while the previous primary profile stays unchanged. You can create more profiles without leaving existing ones.

Safe retries of the same submission do not create duplicate organizations. A duplicate active membership within the same organization is not allowed either.

Make a profile primary

  1. Open My profile and find Work profiles.
  2. Open the profile you normally want to use.
  3. Choose Make primary.

The next session begins there. This decision does not move customers, reports, or settings and does not switch the current tab.

Invitations and notifications

Accepting an invitation can add another organization even when you already have profiles. The invited profile is selected after acceptance and the previous primary profile is preserved.

A service connection invitation differs from an invitation to join an organization: it does not add a membership. After verifying the email, you explicitly choose one of your Company profiles with permission to manage the network, or create one and reopen the link. Acceptance switches the session to that profile without replacing the primary profile.

The bell gathers alerts for the whole account and identifies the source profile. Opening an alert from another environment validates current access, changes context, and opens only an authorized internal destination. Alerts cannot be used to open a report with the same number in another organization.

Leaving, archiving, and retaining history

Ending a membership affects only that profile. If it was selected, the session returns to the primary profile. If the primary profile ends, ReportArea deterministically promotes the oldest active profile. It returns to Onboarding only when none remain.

Ended memberships stay visible as history without operational access. Archiving an organization applies its own rules to all members and does not delete audits.

Rules and privacy

  • There is no functional limit on self-created profiles, although setup protects the service against repeated submissions.
  • The selected profile is revalidated on every request; changing a session identifier never grants access.
  • ReportArea never automatically shares customers, reports, inventory, documentation, or subscriptions between profiles.
  • B2B collaboration uses explicit connections, agreements, assignments, or handoffs; holding both profiles in one account creates no shortcut.
  • Alert preferences and permissions are evaluated inside the corresponding profile.

Practical example

Ana works independently and also belongs to a Company's service team. She creates a Professional profile for private clients and accepts the Company invitation as a second profile. She makes the Company primary so it opens every morning. For independent work, she switches to Professional; both environments may contain report #000123 without sharing files, customers, or history.
